How to Build an Owner Acquisition Funnel in Your PMS

    Short answer

An owner acquisition funnel is built by capturing every owner enquiry into one system, defining a fixed set of pipeline stages with exit criteria, and automating the follow-up between them. Guesty and Hostaway both handle owner records and onboarding, but neither is a full CRM, so most managers pair the PMS with a lightweight CRM and pass the record across at signature. The rule that matters is one system of record, updated by one owner of the process.

What stages should an owner pipeline have?

Six stages are enough: enquiry, qualified, assessment sent, proposal, contract, onboarding. Each stage needs one written exit criterion so that pipeline value means something.

Stages without exit criteria produce a pipeline that only moves forward. If nothing ever moves back or out, the forecast is fiction and the team cannot see where deals die.

How does this work in Guesty and Hostaway specifically?

Both platforms model owners as records attached to listings, with owner portals, statements and revenue splits. Both are strong from signature onward and thin before it, because neither was designed as a sales CRM.

The practical setup is a CRM for stages one to five and the PMS from stage six, with a single automated handover that creates the owner record, the listing shell and the onboarding task list at signature.

    • Capture all web enquiries into the CRM through one form, never into a shared inbox.
    • Store contract end date and current manager as structured fields for switching campaigns.
    • Trigger PMS owner creation from the signed contract, not manually.
    • Keep one source of truth for owner contact details to avoid divergent records.

Which automations produce the most value?

Speed to first response is the highest-return automation. An enquiry answered within an hour converts materially better than one answered the next day, so route new enquiries to a person immediately and acknowledge automatically.

The second is the renewal-date reminder for prospects under contract elsewhere. A task created 30 days before their notice window opens turns a dormant lead list into a scheduled campaign.

What should the funnel report on?

Conversion rate between each pair of stages, time in stage, and cost per signed owner by source. Those three make the bottleneck visible without further analysis.

Review the report monthly with the person responsible for each stage. A funnel nobody reviews decays into a contact list within a quarter.
